Enforcing SaaS seat limits starts with the contract: who is allowed to use each account, how membership is assigned and what happens when a team grows. Detection supplies evidence about account use; the entitlement system decides whether that use requires another named seat, a team upgrade or no change.
A device cap alone cannot count employees. One developer can use a workstation, laptop and phone, while several coworkers can take turns at one shared computer. Combine technical evidence with the product’s membership model and keep a clear path for legitimate customers to correct a mistake.
- 1Model the contract
- 2Inspect shared credentials
- 3Recover the right entitlement
Separate seats, accounts, devices and sessions
A seat is a commercial entitlement. An account is an application identity. A device is an observed technical endpoint. A session is an authenticated access period. Treating these as equivalent creates confusing enforcement and pricing disputes.
Choose a stable account reference for detection, and keep the member, organization and subscription relationships in your own trusted application data. If a shared service account is permitted for a particular integration, model that role explicitly rather than forcing it through a human-seat rule.
| Entity | What it represents | Common counting mistake |
|---|---|---|
| Seat | Purchased right of use | Counting every device as another seat |
| Account | Application identity | Assuming every account is one active person |
| Device | Technical access endpoint | Treating a shared workstation as one user |
| Session | Authenticated access period | Counting every tab or refresh as a new user |
Find sharing that concurrency misses
A department can reuse one paid login sequentially. Nobody needs to overlap, so a simultaneous-session limit may never trigger. Account-device history and relevant protected actions help identify that pattern over time.
Look for sustained unrelated device groups, repeated account switching, activity windows and the nature of the actions being performed. A shared company IP provides little separation. Conversely, a traveling employee’s network changes should not automatically create a new person in the seat count.
Castle’s sharing tutorial describes unique-device metrics and configurable policies. Rupt’s access-protection documentation explains why protected access can matter after login. Use those ideas to design a pilot that includes sequential use and long-lived sessions.
Keep the organization model current
Join detection observations to the entitlement that applied at the time of access. Record membership changes, invited users, removals and plan upgrades. An invitation still awaiting acceptance should not silently authorize a shared credential, but an accepted paid member should not be blocked by an outdated organization cache.
Support should be able to see which entitlement version informed a response. Define what happens during a billing transition or short provisioning delay. Retry safely instead of applying a permanent restriction because one subsystem temporarily failed to return membership data.
Use a response that matches the case
For a first ambiguous pattern, a device-management or re-authentication step may be sufficient. For a team demonstrably using one named-user credential, a clear seat invitation and upgrade path can preserve work while restoring the correct entitlement.
Explain the available options before removing access. Tell the administrator which plan or membership rule applies, how to invite colleagues and where to request a correction. Avoid accusing a customer based only on a changed browser or network.
Suspected account takeover needs a security response, including account recovery where appropriate. Deliberate seat sharing needs an entitlement response. Keep the case type and the action separate so customer support does not send every flagged team through the same reset script.
Compare the required product scope
ShieldLabs combines ready-made account-sharing detection with live device/network intelligence and broader account-abuse context. It offers 5,000 free identifications and paid entry at 99 US dollars per month. Associate the known account on the relevant flows and inspect the event alongside your membership data.
Fingerprint supports an engineering-owned account history. Castle adds configurable metrics and response policies. Rupt offers sharing-specific access protection and device management. Workforce identity products such as Verosint’s current Imprivata destination belong to a different connector and procurement context.
Compare the actual sharing output, server verification, supported clients and billable events. Do not multiply monthly active users by a per-call price without estimating how often each protected action is checked.
Pilot the customer journey
Test a single user on several devices, two authorized team members, a shared credential across coworkers and a permitted shared workstation. Include upgrades, removals, device replacement and account switching in the same browser.
Track the number of entitled accounts affected, successful invitations, completed upgrades, support cases and reversals. A detected pattern is not recovered revenue. Attribute a conversion only when the entitlement or billing system confirms it, and compare the result with customer disruption and operating cost.
FAQ
Can device fingerprinting count paid seats?
It supplies evidence about technical endpoints. Seat compliance also needs account membership, contract terms and the permitted-use policy.
Can password sharing happen without simultaneous sessions?
Yes. Coworkers can alternate access. Use account history and relevant access events alongside any concurrency limit.
Should a flagged account be blocked immediately?
Choose a response appropriate to the evidence and entitlement. A review, device-management step or team invitation can resolve cases that do not require a hard restriction.
